General Practice Supervision Australia is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information. This Privacy Notice applies to https://www.gpsa.org.au (hereinafter, “us”, “we”, or “our”) and members of the public who provide personal information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The notice of privacy practices (NPPs) govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What Personal Information do we collect and hold?

The Privacy Act defines Personal Information as information or an opinion about an identified individual, or an individual who is reasonably identifiable. Examples of Personal Information we collect include:

  • contact information (such as your name, address, email address, and phone number)
  • socio-demographic information (such as your gender, date of birth)
  • analytical information (such as visits to our websites, eNews readers, and social media audiences)
  • feedback on our services, products, website, or other matters.

Sensitive Information

Sensitive information is a specific type of Personal Information that is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Examples of sensitive information we may collect include your Aboriginal and/or Torres Strait Islander status, dietary requirements (for events), and membership status to the Colleges.

How do we obtain Personal Information?

We obtain Personal Information in many ways including via the membership portal, hard-copy and online surveys and forms, in person and/or online, interviews, video conferencing, written correspondence, by telephone and facsimile, by email, mobile applications or other electronic systems, via our website https://www.gpsa.org.au, from your website, from media and publications, from other publicly available sources (such as listed by Australian Health Practitioner Regulation Agency, AHPRA), from cookies, and from third parties (such as Google analytics, Facebook analytics and Twitter analytics). On entry to our website, you may choose to opt out of data collection and analysis by modifying your cookie settings.

How might we use and disclose your Personal Information?

We collect, hold, use, and disclose your Personal Information for the primary purpose of providing our core membership services to you consistent with our Constitution, including:

  • providing products and services
  • educational and CPD functions
  • research and reporting (aggregated and anonymised)
  • communications, advocacy, and marketing
  • policy development and operational functions
  • data analytics (such as data integration, data mining, and data matching)
  • purposes to which you have consented
  • any other circumstances required or authorised by the Privacy Act

We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure, and in circumstances where we are permitted to do so under the Privacy Act. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

Information that identifies you personally will not be shared with any third parties without your permission, other than circumstances required or authorised by the Privacy Act, where disclosure is necessary to prevent a threat to life, health or safety, or where we are otherwise permitted by the Privacy Act.

We report aggregated and anonymised information about our members to third parties, such as the number of members who are GP supervisors to funding bodies.

We do not sell or license your personal information to third parties or overseas recipients.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Storage and security of Personal Information

Your Personal Information is stored in several ways, primarily in secure electronic databases and files maintained on electronic drives, in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification, or disclosure. Your Personal Information may also be hosted on remote website servers, such as Hivebrite and Zoom, which are not owned or controlled by us and for which we accept no responsibility or liability. These organisations have their own privacy policies, which you should review.

When your Personal Information is no longer needed for the purpose for which it was obtained and are not legally required to retain it, we will take reasonable steps to destroy or permanently de-identify your Personal Information.

Access to and correction of your Personal Information

It is important to us that your Personal Information is accurate, complete and up-to-date. You may access the Personal Information we hold about you to update and/or correct it, subject to certain exceptions, such as via our website. For any other Personal Information that cannot be accessed and amended via the website, contact governance@gpsa.org.au to access or amend the Personal Information that we hold. In order to protect your Personal Information we may require identification from you before releasing the requested information.

Policy Updates

This Policy may change from time to time and is available on our website. We reserve the right to amend this Policy at any time, which will be notified via an updated version of the Policy uploaded on our website.
